Order Proposal

This document describes the Order Proposal screen, including its fields, configuration options, and overall usage. All the quantities displayed throughout the screen and its tabs are stated in base units (pieces or kilograms).


Order Proposal Screen

The Order Proposal screen displays various order related information, as well as users can create or edit an order proposal for a specific supplier here. Below is a description of the main fields and options available.

Order Proposal Header

Field NameDescription
ClientDisplays the client ID and title.
Delivery DateThe delivery date for the current order proposal.
Next Delivery DateThe next scheduled delivery date after the current one.
Order #The unique order proposal number.
Delivery Schedule TitleThe title of the assigned delivery schedule.

When you select any article in the main table, additional Article Information fields appear in the header:

Order Proposal – Article Information

Field NameDescription
PCE/DPAQuantity of pieces in a distribution package.
Shelf LifeTotal product shelf life (in days).
RoundingRouding profile. For example, if Rounding is set to 6, an order of 1 piece is rounded up to 6; an order of 7 pieces is rounded to 12 (the next multiple of 6). If Rounding is N/A, no rounding is applied (e.g., an order of 1 remains 1).
ReorderReorder Stock Days – Specifies the number of remaining in-stock days at which the system automatically initiates an order proposal to replenish inventory.
TargetTarget Stock Days – Specifies how many days of sales the inventory should cover. The system automatically generates order proposals to maintain this target until the next replenishment.
MinMinimum Stock Quantity – The system will create order proposals that ensure the stock for this article/client never falls below this minimum.
MaxMaximum Stock Quantity – The system will create order proposals that ensure the stock for this article/client never exceeds this maximum (existing stock on the delivery date + ordered quantity). Note that if this value is too restrictive, it can lead to out-of-stock situations.

Order Proposal Main Table

Field NameDescription
IDThe system ID of the article.
ArticleThe title (name) of the article.
% PromoIndicates whether the article is on any active promotion. An icon appears if the order proposal is created on a date that falls within a promotional purchase period.
Stock qtyThe current stock quantity.
Stock daysThe number of sales days covered by the current stock.
Open POThe open purchase orders at the moment of creating the new order proposal. Only purchase orders with a delivery date between the Order creation date and the Next delivery date are shown.
QtyThe proposed order quantity, which aims to reach the target stock days. It may be affected by factors such as article Rounding, Promotions, Placements, and Min/Max settings. Users can manually change this quantity; however, changes are automatically rounded based on the article’s rounding setting.
Stock days1The number of sales days covered at the moment of this order proposal’s delivery, assuming 100% order proposal fulfillment. Modifying the proposed order quantity recalculates Stock days1 immediately.

Order Proposal Information Panel

When you select an article from the list, an Information Panel appears on the right side. It has multiple tabs with additional details:

Tab 1: Sales

Field NameDescription
Article ID and TitleThe article’s system ID and title.
Sales ChartDisplays sales data (up to two years of history: last year + year-to-date). You can switch between daily, weekly, and monthly views.
Weekly SalesShows weekly sales in the article’s base units (e.g., pieces, kg). Displays data for four historical weeks plus the current week.
Last Average Sales (28 Days)The weighted average sales for the last 28 days, calculated by weekday (e.g., an average of the last four Mondays, Tuesdays, etc.). Typically, more recent weeks have a higher weight in the calculation.
Last Promo Average SalesThe weighted average promotional sales for the last promotional period, also calculated by weekday. More recent promotional weeks generally have a higher weight in the calculation.
PlacementThe placement quantity in pieces (i.e., stock quantity allocated for regular i.e. non-promo placement) with start/end dates.
Promotion TableLists ongoing and historical promotions with details such as promotion type, start/end dates, purchase period start/end dates, and promotion placement quantity (if any).

Tab 2: Deliveries

Field NameDescription
IDThe system delivery ID.
DeliveryThe delivery date.
Rec/OrdThe ordered quantity vs. the received quantity.
SL%Service level percentage: (Received Quantity / Ordered Quantity) × 100.
StatusThe delivery status, indicated by color codes (e.g., Green = received, Yellow = submitted). Quantities of submitted deliveries appear in the Open PO column in the main table.

Tab 3: Settings

Here users can override default minimum (Min) and maximum (Max) stock setting for this specific article/client. Min and Max settings can be change also in the Articles menu.

Tab 4: Detalization

In this tab users can check forecasted sales and stock projection for the nearest weeks, as well as visually see how sufficient current order proposal would be. Header Fields

MinimumThe minimum stock quantity.
Stock daysThe number of sales days covered by the current stock (visualized as the “yellow line”).
Stock days1%The number of sales days covered at the moment of the order proposal delivery (visualized as the “green line”).

Detalization Table

Field NameDescription
DateThe date of the order proposal entry.
StockOn the Order creation date, the current stock is shown. On subsequent dates the projected stock is shown, which is calculated based on sales forecast and open orders.
OpenThe open orders at the moment of creating the new order proposal, considering only those with delivery dates between the Order creation date and the Next delivery date.
SalesThe daily sales forecast. Black font indicates regular sales; red font indicates promotion sales.
PlacementThe placement quantity (promo and non-promo).
CloseThe projected closing stock on that date.
Yellow lineVisually indicates dates covered by existing stock.
Green lineVisually indicates dates covered by order proposal quantities.
